Remediate Printer Problems Using This Checklist

Enterprise printing is still huge! Leadership (especially when dealing with legal documents) still prefers to have contracts and agreements printed and signed manually.

Systems Administrators play a pivotal role in ensuring users can print uninterrupted.

Here are some common potential remedies for printer problems:

Identifying Issues. It is crucial that we recognize any specific issues which exist within a business environment.

Check Physical Connections. Make sure the printer is connected correctly to the computer, inspect cables for signs of damage and ensure that there are no disruptions in signal transmission.

Verify Printer Status. Check to make sure the printer is functioning as it should be and that sufficient paper supplies are available, with no error messages showing on its control panel.

Update Printer Drivers. Ensure all printer drivers are current. Download the most up-to-date drivers from their respective manufacturer’s websites, then install them.

Stop Print Spooler and Restart It. In the Services management console, locate the Print Spooler services, stop them, then restart them in order to resolve issues related to printing spooling. This may also improve performance.

Print from Different Applications. If printing isn’t working from one program, try switching up applications to see if there’s an underlying software issue that needs fixing.

Check for Paper Jams. Carefully inspect for paper jams in order to remove any stuck papers that might obstruct printing processes, according to manufacturer specifications.

Verify Network Connectivity. Network printers should be tested to ensure connectivity. Verify that their IP is correct before proceeding.

Check your toner/ink levels. Low levels of ink or Toner can have an adverse impact on print quality; in such an instance, replacing cartridges may be necessary.

Print Settings. When in the printer properties menu, make sure that the print settings such as paper type, color and quality are adjusted as necessary.

Consult Your Printer’s Manual. For troubleshooting tips, consult the printer manual.

Contact the Manufacturer Support. If your issue cannot be resolved on your own, it may be beneficial to reach out directly to the manufacturer support.
